Privacy Policy

Introduction

Welcome to our PDF Annotator application. We are committed to protecting your privacy and handling your data with transparency and care. This policy outlines our practices regarding data collection, usage, and protection.

Data Handling for Local and Unauthenticated Users

For users accessing the application locally or without authentication, please be aware of the following:

  • Temporary Data Storage: Any annotations, documents, or changes made while using the application locally or unauthenticated are stored temporarily in your browser's local storage. This data is not uploaded to our servers and is not persistent.
  • Data Volatility: Local and unauthenticated data may not be retained for more than 24 hours and can be lost if you clear your browser's cache, use a different browser, or switch devices. We recommend authenticated use for persistent storage of your documents and annotations.
  • No Server-Side Persistence: We do not store or back up any data created by local or unauthenticated users on our servers.

Data Ownership and Deletion

We believe you own your data.

  • Your Documents, Your Control: Any documents you upload and annotate through our authenticated service remain your property. You have full control over your documents and annotations.
  • Permanent Deletion: If you choose to delete a document or your account, all associated data will be permanently removed from our systems. This action is irreversible, and we will not be able to recover your data once deleted.

AI Usage and Data Training

Instant Markup does not train artificial intelligence models on user documents, annotations, audio, or uploaded content.

We are not an AI training or data brokerage company. Any AI features offered by Instant Markup are provided solely as tools to assist users and do not rely on training with customer data.

Your documents and annotations are never used to train, fine-tune, or improve AI models, whether operated by us or by third-party providers.

We do not read, review, or analyze the content of your documents to improve AI systems. Document content is processed only as necessary to deliver the features you explicitly use, such as annotation, transcription, or export.

We collect limited, anonymized technical analytics to improve system performance and reliability, including metrics such as upload speed, file size, processing time, and error rates. These analytics never include document text or semantic content.

If we ever introduce features that materially change how user data is processed, we will update this Privacy Policy and provide clear notice before those changes take effect.

Information We Collect

When you use our authenticated service, we may collect:

  • Account Information: Such as your email address and authentication credentials.
  • Usage Data: Information about how you interact with our application to improve our services (e.g., features used, duration of sessions). This data is typically anonymized or aggregated.
  • Document Metadata: Information about your uploaded PDFs (e.g., file name, size), but not the content itself, unless you choose to store it.

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services.
  • Personalize your experience.
  • Communicate with you about your account or our services.
  • Ensure the security and integrity of our application.

We implement a variety of security measures to maintain the safety of your personal information when you enter, submit, or access your personal information.
